Loan Documentation Specialist II

Responsibilities:

Position Purpose

Responsible for review and preparation of all types of loan documentation, including commercial, real estate, agricultural, and consumer loans. Reviews loan documents to ensure proper lien perfection, compliance with regulatory requirements, and internal loan policy requirements. Assists lending group to ensure that loans are properly documented. Completes miscellaneous clerical functions and assists with other Credit Admin responsibilities as needed.

Essential Functions and Basic Duties

  1. Assumes responsibility for the effective and timely performance of assigned quality control and indexing functions.
    • Prepares loan documents and supporting documentation for all types of loans, including commercial, real estate, agricultural, and consumer loans.
    • Reviews loan documents to ensure accuracy and sufficiency, lien perfection, compliance with regulatory requirements, and internal loan policy requirements.
    • Assists with other Credit Admin responsibilities and miscellaneous duties as needed/assigned
    • Ensures that loan Quality Control functions are completed in accordance with established Bank policies, procedures and regulatory requirements.
  2. Assumes responsibility for maintaining professional working relations with internal customers and business contacts.
    • Obtains and conveys information as needed.
    • Strives to provide excellent service to all customers
    • Answers questions, resolves problems, and responds to requests for documents promptly and courteously.
    • Maintains and projects the Bank's professional reputation.
    • Maintains customer confidentiality.
  3. Assumes responsibility for establishing and maintaining effective communication, coordination, and working relations with Bank personnel and with management.
    • Assists branches and related departments as required.
    • Supports and replaces Quality Control personnel as needed.
    • Keeps management informed of area activities and of any significant problems. Provides suggestions for improved service delivery.
    • Attends meetings as required.
  4. Assumes responsibility for related duties as required or assigned.
    • Ensures that work area is clean, secure, and well maintained.
    • Completes special projects and miscellaneous clerical functions as required.

Performance Measurements

  1. Loan quality control is completed in accordance with Bank policies and procedures. Established standards are maintained and duties are performed efficiently in the least time possible.
  2. Records, documents, and files are complete, accurate, up-to-date, and indexed correctly.
  3. Requested documents and information are well researched and promptly located. Recordkeeping errors or discrepancies are identified and resolved.
  4. Professional and courteous working relations exist with customers and business professionals. Assistance, information, and document copies are provided as needed.
  5. Effective working relations exist with Bank personnel. Branch and loan personnel are well supported and assisted.
  6. Management is appropriately informed of area activities and of any significant problems.
Qualifications:
Education/Certification:
High school graduate or equivalent.
College degree from an accredited institution preferred.
Required Knowledge:
Extensive working knowledge of lien perfection and regulatory requirements pertaining to commercial, real estate, agricultural, and consumer loans.
Experience Required:
Minimum three years experience in commercial and/or real estate loan documentation preparation/review or comparable experience; Harland LaserPro software experience beneficial, but not required.
Skills/Abilities:
Well organized.
Attentive to detail.
Strong self motivator.
Able to assist and coordinate activities with others.
Able to use PC, various software tools, 10-key, telephone, and other basic business equipment.

Physical Activities and Requirements of this Position

Finger Dexterity
Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.
Talking
Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
Average Hearing
Able to hear average or normal conversations and receive ordinary information.
Repetitive Motion
Movements frequently and regularly required using the wrists, hands, and/or fingers.
Average Visual Abilities
Average, ordinary, visual acuity necessary to prepare or inspect documents or products, or operate machinery.
Physical Strength
Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.)

Working Conditions

No hazardous or significantly unpleasant conditions (such as in a typical office).

Mental Activities and Requirements of this Position

Reasoning Ability:
Ability to apply common sense understanding to carry out detailed instructions and to deal with problems involving a few variables.
Mathematics Ability:
Ability to perform very basic math skills including adding, subtracting, multiplying, and dividing two digit numbers; the four basic arithmetic operations with money; and operations with units such as inch, foot, yard; ounce, and pound (or their metric counterparts).
Language Ability:
Ability to use passive vocabulary of 5,000-6,000 words; read at a slow rate; and define unfamiliar words in dictionaries for meaning, spelling, and pronunciation.
Ability to write complex sentences, using proper punctuation, and using adjectives and adverbs.
Ability to communicate in complex sentences, using normal word order with present and past tenses and good vocabulary.
